VP of Administration & Finance

La Nube’s anticipated opening date is late 2023 with soft openings in the month prior to the official opening. The entire La Nube Team will be hired, trained, and ready for the soft openings.

About the Role

The VP of Administration & Finance serves as a key member of the executive leadership team and manages the museum’s financial and business affairs, administration, information technology, and building services. This position is both a strategic thinker and an articulate spokesperson for the objectives and goals of the museum. Reporting directly to the President & CEO, the VP of Administration & Finance directs the administrative functions and financial management of the museum. He/She will work in conjunction with executive leadership and the Board Finance Committee to ensure the long-term financial stability of the museum, expand creative revenue solutions, and enhance the overall institutional reputation. This includes collaborating on strategic and operational matters as they relate to budget management, cost benefit analysis, forecasting, and assisting with securing and tracking new funding.

The work week for this position is typically Monday – Friday; however, flexibility in scheduling is needed for special events, requiring some evening and weekend work.

This job is for you if you have…

• At least 5 years in mid or senior level administration and/or accounting management.
• Experience in the nonprofit sector or familiarity with nonprofit accounting and legal compliance
• Superior analytical and project management skills; ability to manage multiple priorities. efficiently and effectively, with strong follow-through.
• Supervisory experience, with an ability to work with direct reports to guide and mentor staff.
• Experience working with consultants and managing contract deliverables.
• Demonstrated strategic thinking abilities and proven experience as a strategic partner
• Excellent organizational and interpersonal skills.
• Ability to build and maintain effective positive working relationships with management, the Board of Directors, donors, vendors, partners and guests.
• Commitment to being a team player – our success is based on what we accomplish together.
• A minimum of a Bachelor’s degree in accounting, finance and/or a degree with equivalent experience. MBA, CPA or CMA preferred.

Responsibilities

Because La Nube is a startup, you’ll be given lots of responsibility, and opportunities to shape the organization. We are at a pivotal moment in building the organization, and you must have the vision and drive to secure the resources and develop business and financial systems necessary to ensure the museum’s success prior to and after opening. You must be collaborative, resourceful and a creative problem-solver. The VP of Administration & Finance will be the primary leader in establishing vendor relationships and identifying necessary systems and resources for the new museum, including, but not exclusive to:
• Nonprofit accounting system
• Internal controls and policies
• Comprehensive insurance coverage
• Insurance and employee benefit program(s)
• Payroll system
• Licenses and Leases
• IT security/building security

Once La Nube is operational, the VP of Administration & Finance’s responsibilities will include:

• Lead all finance and accounting functions.
• Serve as senior finance expert on La Nube’s Leadership Team. Provide financial expertise and perspective for all significant museum decisions.
• Serve as management representative on the Finance Committee of the Board of Directors and provide information and analysis to aid in the committee’s oversight role.
• Lead preparation and analysis of monthly financial reports to the CEO, Leadership Team, the Board of Directors, and lenders. Analyze financial data on an ongoing basis, and provide recommendations based on that analysis.
• Draft annual financial reports. Direct all staff work required for timely completion of audit and tax returns. Manage relationship with independent auditors.
• Prepare quarterly financial reports to the City of El Paso as required.
• Supervise accounting staff and manage daily operations of the Administration & Finance Team. As a hands-on manager, prepare various journal entries, account reconciliations, and analyses. Perform tasks of accounting staff on an occasional basis as needed
• Prepare or direct preparation of financial portions of donor compliance documents and reports, including contract approvals and reimbursement requests for public grants.
• Direct preparation of annual budget, including hands-on preparation of various portions. Work with President, Leadership Team, and Finance Committee to ensure that budget aligns with the museum’s goals.
• Prepare ongoing annual financial forecasts throughout the year, and prepare financial portions of long-term business plans.
• Manage cash, including securing financing as needed. Manage lender relationships. Manage investments in coordination with the Finance Committee.
• Manage software including accounting, payroll/HR, and point-of-sale systems. Evaluate software enhancements and replacements as necessary, with the goal of reducing staff time for repetitive tasks to allow more time for analysis and other higher-function priorities
• Work with the Grants Manager and other appropriate staff on grant applications and grant reporting.
• Manage certain vendor relationships to ensure that high quality goods and services are purchased at reasonable prices, including IT services and computer equipment, employee benefits, insurance, telephone, and utilities.
• Manage problem assets and establishes risk management policies, procedures, and protocols
• Serve as primary liaison with IT services provider.
• Administer employee benefit programs in conjunction with the VP of Talent & Culture.
• Maintain current knowledge of relevant accounting policies and issues.
• Manage legal matters in consultation with President/CEO.
• Ensure that tax-exempt status is maintained.
• Ensure that an effective system of internal controls is maintained.

Logistics

• For the time being, your “desk” could be in any number of places—home, coffee shop, downtown office spaces. We just need you to be in a place with reliable cell phone access and high-speed internet. Prior to opening, we will be working as a team in a leased office space.
• If you do not currently own a laptop or phone, La Nube may be able to provide one prior to opening.
• You can expect a 40-hour work week, via phone/Zoom/email, but you are willing to invest the time needed to get the job done.
• We are very flexible for caregivers who might need to provide rides, support, attend appointments or be available for caregiving. Communication is key!

Must Have

• Exceptionally well-versed in accounting practices and business development for non-profits.
• Demonstrated resourcefulness in setting priorities and guiding investment in people and systems
• Be both a team player and team leader

Nice to Have

• Comfortable working independently as we ramp up the staffing, structures, and policies
• Fluent in English and Spanish
• Committed to keeping current on financial practices and policies as related to non-profits.
